How Orange County Portraits handles booking details, photographs, accounts, and privacy requests.

Effective date and scope
Effective November 6, 2026. This policy describes information handled through the Orange County Portraits website and its booking tools. External services have their own privacy policies. Questions and privacy requests can be submitted through the Contact page or the contact details shown on the website.
Information provided by clients
A session request collects the client’s name, email, optional phone number, preferred dates and times, session type, collection, location, group and pet counts, notes, and typed acceptance of the agreement. Booking records include changes, payment-verification status, invoices, consultation preferences, and any gallery link. Please provide only details needed to plan the session. Do not submit sensitive medical information or children’s full identifying details in general notes. The Contact form collects a name, email, topic, and message.
Photographs and optional accounts
Session photographs and gallery-related information are used to produce and deliver the purchased service. Booking a session does not itself grant permission to use a client’s photographs in advertising. Any requested promotional use is handled separately. Account linking is optional. When a client chooses ChatGPT sign-in, the verified account identifier and available profile details support access to linked bookings. A private management link also grants access without an account and should be kept confidential.
How information is used and shared
Information supports estimates, availability checks, session planning, agreements, payment verification, delivery, customer support, and business records. Hosting and storage providers process data needed to operate the site. Google Calendar is used for studio availability checks without displaying event titles or attendees to customers. A payment provider processes card information on its own hosted page; this site does not collect card numbers. An external gallery provider may process gallery visits and downloads. Email or communication providers process correspondence when used. Records may be disclosed where legally required or necessary to protect the business or others.
Cookies, browser storage, and technical information
Optional family-questionnaire answers can include participant names, interests, preferences, comfort needs, and parent-provided treat permission or food restrictions. These answers are private to the booking and studio and are used for session planning. Only share information you are comfortable providing; promotional image permission is separate. The website uses browser session storage to retain a private management link on the current browser session. Authentication and Google Calendar connection flows use necessary security cookies. Hosting, authentication, and service providers may process technical data such as IP addresses, request logs, and device information for operation and security. The site does not include advertising pixels, behavioral advertising, analytics enrollment, or automatic marketing-list signup. Transactional email providers may report delivery, approximate opens, or clicks when configured; privacy tools can affect those signals. Private document downloads and reviews are logged to help the studio follow up on a booking. It does not currently change its behavior in response to browser Do Not Track signals. Third-party services may have different tracking practices.
Retention, security, and requests
Booking, agreement, invoice, and communication records are retained as needed to provide services, maintain business records, resolve disputes, and meet applicable obligations. No unlimited gallery archiving is promised. Access to studio controls is restricted and calendar credentials are encrypted in server storage. No system can guarantee absolute security. Clients can request access, correction, or deletion through the Contact page or booking correspondence. Identity verification may be required, and some records may need to be retained for legitimate business or legal reasons. A deletion request does not itself cancel a booking.
Optional marketing and privacy signals
Booking and contact forms do not automatically subscribe anyone to specials. A separate unchecked opt-in records the signup choice and date. A confirmation email activates the subscription; an unsubscribe link stops marketing without cancelling service emails or bookings. The site does not sell personal information or share it for cross-context behavioral advertising, and it does not activate such processing in response to a Global Privacy Control signal. Privacy requests can be sent through Contact. Any statutory privacy rights that apply to the business remain available; this policy does not claim that every CCPA threshold applies.
Children and policy changes
Booking and account tools are intended for adults arranging photography services. The site does not invite children to submit their own requests. A parent or legal guardian should manage a child’s session information. Policy updates are posted here with a revised effective date. Material changes affecting existing requests will be communicated through available booking contact details where appropriate.
